Position Title: Administrative Assistant - Athletics
Reports to: Director of Athletic
FLSA Status: Non-Exempt
TERMS OF EMPLOYMENT: Administrative Staff - 10 month + 14 days - Class B with benefits according to the LEA Unit D collective bargaining agreement.
37.5 hours per week. $29.48 - $37.75 per hour
JOB GOAL:
Employee performs a variety of secretarial duties to support the operations of the office and Director of Athletics while supporting the programs and families.
ESSENTIAL FUNCTIONS:

- Provide extensive customer service in person, via telephone and email
- Monitors athletic schedules of games, verifying opponent schedules match
- Coordinate bus schedules with transportation company
- Reserve building space through online scheduling software
- Administer athletic registrations through online registration software
- Collect required health forms
- Generate extensive reports
- Process the collection of user fees collected online and by check; make deposits to the Treasurer; generate monthly reports
- Follow up on fees owed
- Assist with payroll for game officials
- Create and maintain student athlete records
- Coordinate with nurses, coaches, deans and teachers as necessary
- Collect and maintain end of season reports
- Prepare requisitions for purchases and process payments
- Participates in special projects
- Performs a variety of related duties as assigned
EDUCATION & EXPERIENCE:
High school diploma or equivalent and 1 – 3 years of experience in administrative, clerical, financial or secretarial work, preferably in a school environment; or any equivalent combination of education, training, certification and experience.
Must have knowledge of clerical and office management principles and practices, and computer systems, word processing, spreadsheet, G-Suite navigation and database software
Ability to establish and maintain effective and harmonious working relationships with the public, officials and department personnel; ability to work independently in an efficient manner; ability to communicate effectively in written and oral form; ability to establish and maintain a record keeping systems; ability to operate a telephone and standard office equipment; ability to manage multiple tasks in an efficient manner; ability to deal tactfully with disgruntled people.
Skill in operating computers and applicable word processing and statistical applications; excellent customer service skills. Must have strong record keeping, bookkeeping, secretarial, organization, communication and customer service skills.
